Terms and Conditions for 1Month+ Mini-Lease Contracts
Ordering a vehicle: The Customer will be required, in all cases, to sign an order confirmation for all rentals. Rentals can be charged to a person corporate or private subject to status. Orders are made by car group and are subject to availability. Solus Drive may supply an alternative model to those listed. Whilst Solus Drive will make every effort to provide the vehicle on the requested date delivery dates cannot be guaranteed. The vehicle must be accepted within 3 days of it being made available to the Customer by Solus Drive and charges will commence at midnight of the 3rd day or on the day of delivery, whichever is the sooner.
 
Delivery & Collection: The vehicle will be delivered and collected by Solus Drive. It is the responsibility of the Customer or their agent to inspect the vehicle upon delivery and collection and agree the condition of the vehicle with Solus Drive. At point of delivery, the vehicle(s) will be inspected by Solus Drive and the Customer and a signed agreement of the Pre-Rental Condition shall be obtained; a copy of same being retained by both parties. Prior to collection, the vehicle(s) will be inspected by both Solus Drive and the Customer and a signed agreement of the End of Rental Condition shall be obtained; a copy of same being retained by both parties. Should the exterior of the vehicle be excessively dirty to the extent of hindering an accurate inspection, Solus Drive shall retain the right to re-inspect the vehicle after cleaning it and shall notify the Customer of any damage within 5 working days of collection. Should the interior of the vehicle be excessively dirty, a valeting charge of £50 + vat will be charged to the Customer. Delivery and collection charges, where applicable, will be advised at point of quotation.
 
Deposit: Each Rental will be subject to a deposit equivalent to a minimum of one months rental. Following delivery of the vehicle and payment of the rental due under the Rental Agreement, the Deposit will be held by Solus Drive as its absolute property until the Agreement is terminated and all liabilities of the Customer therein have been discharged to the entire satisfaction of Solus Drive.
 
Vehicle Exchange: Solus Drive may, giving reasonable notice to the Customer, at any time during the rental period, exchange the vehicle for an alternative of comparable class and mileage; the expense of delivering and collection of such an exchange shall be borne by Solus Drive, such vehicle exchange will be at the convenience of both the end-user and Solus Drive but within 10 days of any request by Solus Drive.
 
Mileage Allowances: Mileage allowances and excess mileage charges shall be calculated on each vehicle, pro rated for the actual period each individual vehicle is with the Customer and shall not be amalgamated nor pooled. A mileage allowance of 2,000 miles per 28 day rental period applies. Excess mileage will be chargeable after every vehicle exchange and vehicle off-hire. Solus Drive must be notified immediately once the vehicle odometer has covered 11,000 miles. If the vehicle is driven in excess of 12,000 miles on the odometer without the prior written consent of Solus Drive, excess mileage will be charged at a minimum of £0.50 per mile + vat.
 
Ancillary Charges: Should any ancillary charge arise under the Agreement, Solus Drive shall, following termination thereof, first apply the Deposit in satisfaction of those charges.  Any balances due to the Customer shall be reimbursed to the Customer in full within twenty-eight days of the date of termination, any balance due from the Customer will be invoiced to the Customer and is payable not later than 14 days from the date of invoice. Ancillary charges may include, but are not limited to, excess rental days, excess mileage, vehicle repairs, early termination, valeting charges, late payment fees, fuel and delivery and collection charges.
 
Rental Periods and Termination: Each Agreement shall be for rental periods of not more than 28 days. The Agreement may be terminated by either party at any time given one rental period’s notice, given only that the vehicle must be in a fully roadworthy condition and cannot be terminated whilst undergoing mechanical or body repair, or in an unroadworthy condition.
 
Rates: The rates charged are for the period specified in the order confirmation. In the event of earlier termination of the Agreement, by either party, the Customer will be responsible for payment of the hire and ancillary charges, for the actual period of rental, in accordance with the charges schedule as published on the website at the time of the order, subject to the satisfaction of the notice period, except that if Solus Drive require the early termination through no breach by the Customer, the rental rates, shall be calculated, pro rata, as if the rental had continued for the period specified in the Agreement. Mileage allowances and therefore excess mileage will be calculated based upon the actual period of rental for each individual vehicle.
 
Payment: Vehicles are supplied on a non credit basis. Payment must be by an accepted credit or debit card and rental charges are due every rental period in advance.
 
Insurance: The Customer may opt for a rental rate inclusive of insurance subject to conditions and damage/loss excess. If the Customer opts for this, Solus Drive will require sight of the original driving license of each approved driver (both parts if a 2-part UK driving license is held) in advance of rental. A copy of each license will be retained on file by Solus Drive until termination of the final hire period. Alternatively, the Customer may provide comprehensive insurance for any vehicle hired from Solus Drive and must complete an insurance Indemnity Form. Solus Drive must hold a copy of the Customers current insurance certificate and policy schedule on file. If these insurance details alter in anyway, Solus Drive must be notified immediately. It is the responsibility of the Customer to keep insurance valid and up to date at all times, including the notification to your insurers of an exchange or additional vehicle where applicable. Solus Drive should be passed a copy any amended certificate of insurance or policy scheduled issued.
 
Drivers Licences: It is a legal requirement that Solus Drive must register valid driving Licence details on the rental agreement upon delivery of a vehicle. Where a vehicle is covered by customers own insurance, it is not necessary to view each individual driver’s driving licence. However, details of a valid licence must be entered on the rental agreement.
 
Accidental Damage:  Any damage is to be reported to Solus Drive within 4 working hours of occurrence, whether covered by Solus Drive insurance or the customers own. The vehicle will remain on rent to the Customer until it is repaired and returned to Solus Drive in a rentable condition. Solus Drive will always assist the Customer in repairing a vehicle as quickly as possible, and at a competitive cost. If the Customer provides own insurance, any charge / invoice relating to an accident received by Solus Drive such as recovery charges, road repairs etc. will be invoiced to the Customer and will be payable within 7 days from invoice date. The Customer is responsible for reclaiming any resulting losses from their insurer.
 
Breakdowns / Accident: All Solus Drive vehicles are covered by the relevant manufacturers assistance service. Should a breakdown or accident occur the driver should contact the relevant service immediately.
 
Vehicle Maintenance: Whilst a vehicle is on rent it is the responsibility of the Customer to ensure all fluid levels, as per Manufacturer requirements (details may be obtained directly from the relevant manufacturer’s website), are checked regularly and replenished to recommended levels when necessary. The costs of these items are the responsibility of the Customer. The Customer must also ensure that both tyre condition and pressure are checked regularly. It is the responsibility of the Customer to repair or replace windscreen / glass damage and keep the vehicle in good condition at all times. Should any fault occur in the running of the vehicle, it is the responsibility of the Customer to notify Solus Drive immediately to prevent further damage. Due to increased Manufacturers service intervals, it is unlikely that the rental vehicle will require a serice whilst on rent. However, should mileage agreement be breached resulting in one or more missed service, the Customer will be onward charged any such penalty charged to Solus Drive resulting from same plus an administration fee of £35 + vat.
 
Parking Charges / Fines: Any Parking Tickets, Speeding Fines, Congestion Charges & Bus Lane Offence Fines incurred during the rental period will be the responsibility of the Customer, any such charges will be invoiced together with an administration fee of £40.00 + VAT. Any and all such invoices shall be paid to Solus Drive within 14 days of invoice date. The Customer is responsible for any parking charges and fines or towing fees incurred once the vehicle is delivered and until collected by a representative of Solus Drive. Any vehicles left in a car park and not returned to an agreed location will be subject to collection, towing and / or parking charges.
